Stop Retyping Business Cards: Scan Them and Let Ana Enrich Your New Contacts

You come back from a trade show with 40 business cards, and they land in a drawer. A week later you remember you meant to follow up.

If you do enter them, it takes hours of retyping names, titles and emails. Typos creep in, and a smudged email address becomes a bounced message. By the time the data is in your CRM, the conversation has gone cold.

Events are expensive. The cards are the return on that spend, and most of them never become a pipeline record.

What Anablock CRM does instead

You take a photo and attach it in the Ana chat. Ana reads the image, extracts the contacts, shows you a preview and waits for your approval. After that, it creates the records and starts enrichment.

One photo can hold several cards, and Ana extracts all of them. You can also use a screenshot of an email signature or a LinkedIn profile.

How it works, step by step

1. Ana identifies what you uploaded. Ana first checks the file type. If it looks like business cards, it says so, for example "That looks like 3 business cards. I will extract them."

2. Ana extracts each contact. For every card you get name, title, company, email, phone and address, where they are printed. Each field gets a confidence score, and Ana flags anything that needs a human look.

3. You see a preview before anything is saved. Nothing is written to your CRM at this stage. The preview looks like this:

| # | Name | Title | Company | Email | Phone | Confidence | Flags | |---|------|-------|---------|-------|-------|------------|-------| | 1 | Jane Smith | Owner | SmileCo | jane@smileco.com | +14155550100 | 96% | None | | 2 | Alex Wu | COO | Acme | (unreadable) | +13105550123 | 71% | Missing email, Needs review |

Ana never guesses. If an email is smudged or cut off, the field stays blank and the card is marked for review. A wrong email is worse than a missing one.

4. Ana checks for duplicates. Before import, Ana searches your CRM by email, then by name and company. If someone is already in the system, it marks the row as a possible duplicate. You choose whether to merge or skip. A merge fills in empty fields only and never overwrites what you already have.

5. You confirm. Ana tells you how many contacts it will create and merge, and which source and status it will use. By default the source is Event (or Trade Show if you say so) and the status is Lead. You can change anything first, for example "change Dale's email to this one."

6. Ana imports the contacts and attaches the original photo. Each contact is tagged as captured from a business card. Phone numbers are standardized, emails are lowercased and trimmed, and states and countries are formatted to match the rest of your data. The original card image is saved on the contact record, so you can always check what the card said.

If one row fails, the others still import. Ana reports the result for each row.

Enrichment starts automatically

A business card gives you a name and a few details. Enrichment turns that into a record you can sell from.

After import, Ana runs enrichment in a set order:

  • Apollo first. Verified title, phone, LinkedIn URL, seniority, location and employer.
  • Hunter next. If a card has no email, Ana tries to find one from the person's name and company domain. It shows the confidence score, and anything below 50 is flagged as risky for cold outreach. Ana verifies the address before you send anything to it.
  • Web and LinkedIn search last. This covers people the first two sources can't find. For brand-new companies, Ana skips Apollo and Hunter and goes straight to web and LinkedIn search, because those databases won't have them yet.

For small batches of up to five contacts, enrichment runs right away. For larger batches, it runs in the background and you check progress whenever you want.

What this fixes

  • No retyping. A photo replaces an afternoon of data entry.
  • Cleaner data. Standard formatting, duplicate checks and flagged low-confidence fields mean fewer bounces and fewer double records.
  • Speed to follow-up. You can have enriched contacts in your pipeline the same day as the event.
  • A source of truth. The original image stays on the record.
  • You stay in control. Nothing is saved without your yes, and nothing is sent automatically.

Where it fits in your workflow

After the import, Ana can group the new contacts into a Smart List named for the event, such as "Captured from cards - SF Dental Expo." It can also log a note about where you met, or draft a short follow-up for each person.

Sending is always a separate step. Ana needs your explicit confirmation and a verified email on the record first.

Who it helps

  • Founders and sales reps who attend conferences and trade shows.
  • Dental practices and DSOs collecting vendor and referral contacts at industry events.
  • Real estate agents who come home from open houses and networking events with a stack of cards.
  • Small teams without an ops person to do data entry.

Try it on your next event

Photograph your next stack of cards, attach the image in Ana, and review the preview. Then decide who gets a follow-up.

If you want to see it on your own cards, book a demo with Anablock. It will be well worth your time to see how it fits your follow-up process.
